The Challenge

When Ace Tuition came to us, they had a clear goal but faced a mountain of challenges. They were already using an educational management system, but it wasn’t cutting it. They needed something more tailored—something designed with their unique operations in mind.

Their mission? To digitalize how they worked while making their day-to-day operations smoother, smarter, and hassle-free.

Their main needs were two major priorities: calendar management and financial management.

Sounds simple on paper, but here’s where things got tricky.

‍

One major pain point was getting their system to seamlessly integrate with Xero. Think invoicing, credit notes, refunds, and even creating bulk invoices for hundreds of students spread across different semesters.

‍

And that wasn't all.

Creating sessions in bulk with repeat settings added another layer of complexity. Imagine setting up repeat classes for dozens of students in one go, all while keeping everything organized and synced. It demanded precision, smart logic, and a whole lot of problem-solving.

Why was all this so important? Ace Tuition needed their system to reflect how they worked—something their existing tools couldn’t provide. Being locked into a rigid system was holding them back, but moving forward meant solving a puzzle with a lot of moving pieces.

To add to the challenge, their entire system had to align perfectly with Xero. Every invoice, every credit note, every session—it all had to match Xero’s operations flawlessly. It was a complex, high-stakes project where every detail mattered.

Ace Tuition knew what they wanted, and it was more than just a system—it was a solution that felt like it was built just for them. Their vision was crystal clear: they needed a platform that aligned perfectly with their way of working.

It had to mirror their logic for class enrollment and calendar management, while still offering the flexibility to adapt to the unique flow of their operations.

To make this vision a reality, key objectives were outlined right from the start. First on the list? Smoother financial operations. This meant syncing their invoicing, payments, and refunds seamlessly with Xero, ensuring everything ran like clockwork.

Next, user experience was non-negotiable. They wanted a calendar management system that was not only robust but intuitive—keeping things simple without sacrificing functionality. Bulk creation of sessions needed to be straightforward and efficient, not a time-sink.

But Ace Tuition dreamed bigger.

They also envisioned a platform that uses cutting-edge tools to simplify tasks. Integrating ChatGPT meant their team could leverage AI for improved engagement, while make.com integration with Bubble would allow automation of workflows, reducing manual effort and errors.
