We collected detailed requirements and created thorough project documentation to establish a solid foundation. Understanding HardCopy’s vision and the needs of its users guided every step we took. From there, our design phase kicked off in Figma. This is where the first glimpse of HardCopy’s future platform took shape, focusing heavily on user experience and simplicity.

Next came development, where we used Bubble.io to bring the designs to life.

Bubble allowed us to build a functional prototype quickly without sacrificing customization or scalability. Once the initial platform was ready, the rigorous QA phase helped us weed out bugs, refine features, and ensure the platform was stable and secure.

However, every great product needs fine-tuning, and HardCopy requires something extra. The client was clear—they wanted an exceptional user experience, not just a functional app.

After our initial QA phase, HardCopy’s design team proposed changes to improve the platform’s flow and usability. This led to an iterative redesign process, during which we collaborated to make meaningful updates to the interface. Balancing visual appeal with functionality was a challenge, but in the end, it only strengthened the platform.

Throughout it all, timelines and milestones kept us on track:

  • Requirement Gathering: Laying down the foundation of the project.
  • Design in Figma: Creating visual mockups of the platform.
  • Development Phase: Building the platform on Bubble.io.
  • Quality Assurance: Ensuring everything ran smoothly and securely.

As we prepare to launch HardCopy, the app represents countless hours of dedication, revision, and teamwork. It’s a secure, intuitive platform designed to make document management straightforward and stress-free for teams.

Building this solution wasn’t just about meeting expectations—it was about exceeding them every step of the way.

The Challenge

When HardCopy came to us, they were tackling a daily problem that countless teams face—how to manage an overwhelming number of documents effectively and securely. For legal, HR, and commercial teams, staying on top of forms, policies, agreements, and workflows was becoming more of a headache than a process.

Important documents were scattered across systems, deadlines were being missed, and tracking workflows felt like a guessing game.

They needed more than just a tool; they needed a platform built specifically for teams that handle documents under pressure. HardCopy’s goal was clear—to create a centralized, user-friendly space where documents could be stored, tagged, grouped, and shared seamlessly.

On top of that, they dreamed of a system that could automate repetitive workflows, keep everyone on schedule with reminders, and provide actionable insights through a statistics dashboard.

For HardCopy’s clients, the stakes were high.

These teams work in environments where missed deadlines and messy organization doesn’t just cause frustration; they create real risks for compliance and productivity. With manual processes slowing them down, the need for an efficient, secure solution wasn’t just a “nice-to-have.” It was an absolute necessity.

Our project goal was to design and develop a comprehensive no-code document management platform using Bubble.io for teams across multiple industries. Hardcopy allows users to store, create, and manage documents and forms, with a focus on automating workflows and ensuring compliance.

Defined Problem

Traditionally, managing documents and forms can be a cumbersome process, leading to inefficiency, confusion, and potential compliance issues. So, that was the challenge - to create a platform that enables organizations to streamline their document management processes, whether it's for HR forms, legal licenses, marketing rights management, or commercial agreements, while allowing users to automate workflows and track progress in real time.

It natively supports a wide range of document types such as consent forms, policies, contracts, and compliance documentation, while offering customized metadata fields for advanced document control.

HardCopy’s vision came from a real need—a better way for teams to manage the endless documents that flow through their busy workdays. They wanted to create something more than just a filing system.

Their goal was an intuitive platform where users could easily store and organize documents, automate tedious workflows, and stay on top of their tasks.

HardCopy knew the platform had to work for everyone, from tech-savvy users to those less experienced. This meant creating something straightforward, easy to use, and adaptable. At the same time, scalability was a key focus.

The system had to grow alongside the teams using it, handling more users, documents, and workflows without slowing down.

To add even more value, HardCopy envisioned features that would take the weight off users’ shoulders:

  • Automation for workflows, including reminders and deadlines, to ensure no critical task slipped through the cracks.
  • A custom document builder to allow teams to create forms or questionnaires tailored to their needs.
  • A statistics dashboard that gave a bird’s-eye view of document statuses, task completion, and upcoming deadlines.
  • Secure storage and organization, letting users tag, group, and categorize documents so everything was always easy to find.
  • The ability to send documents to a managed contact list, complete with reminders, follow-ups, and automation.

The final product wasn’t just another app. It was a way for teams—especially in legal, HR, and commercial fields—to take control of their processes.

HardCopy was designed to help them save time, stay organized, and focus on the most important work. With a platform built to simplify and strengthen document management, HardCopy set out to change how teams operate daily.
